This is the question people get wrong most often, and it’s the one that decides the quote.

Booking the Right Number of Hours
The most common costly mistake is booking the hours the agenda says rather than the hours the day takes. Agendas don’t include the drive between stops, the dinner that runs long, or the twenty minutes spent finding everyone after a reception.
- Start the clock at the first pickup, not the first meeting
- Add the drive time between every stop, not just the stop durations
- Add 30 minutes to any evening ending — groups never leave when they say they will
- End the clock at the final drop, not the last event
- Round up. Booking nine hours and using eight costs less than booking eight and going into overtime

How a Program Is Actually Built
What dispatch does before a multi-vehicle day, which is the part clients never see:
- The itinerary is mapped against real drive times, not estimates — including the construction and the one-way streets
- Vehicles are assigned by leg, so the right capacity is in the right place rather than one vehicle shuttling twice
- Staging positions are chosen — where each vehicle waits between movements, which matters enormously at venues with no parking
- Chauffeur hours are scheduled against the day’s length, with relief planned if it runs past a legal limit
- A single point of contact is named — one dispatcher across the whole program, not a queue
- Contingencies are set — the backup vehicle, the weather plan, the what-if-the-flight-slips plan
This is why a program is quoted rather than priced off a calculator. Two groups of the same size can need different vehicle counts depending on venue access and timing.
Wedding Programs
A wedding is rarely one vehicle. A typical Milwaukee-area wedding runs:
